This works best with Gmail and Microsoft Outlook, but others may need a workaround depending on their IMAP/SMTP allowances. Routine replies are written in your brand voice and land in the chosen drafts folder, where somebody reads them before sending. Incoming leads get checked against the business's ideal customer profile (ICP) before anyone touches them. They get scored, tagged, routed to the proper people, and the lead's profile is created in your customer relationship management (CRM) system—HubSpot, Salesforce, Airtable, and many others, even a shared spreadsheet. It works in both directions, too—new, manually created profiles are ICP-checked and auto-updated.

Appointment Scheduling & Reminders

Client wants to create a booking: The agent works with the calendar you already use — Google Calendar, Outlook and Calendly among them — puts the booking in, and the confirmation goes out. Reminders get created and go out on schedule, right up to appointment day, either by email or text message. When clients reschedule, the agent wakes up, moves the booking, and pings you. Back-and-forths about times disappear, reminders lower the risk of no-shows, and your calendar stops needing as much attention, while a moved appointment stops becoming three phone calls and a stale calendar.

Customer Support & FAQ Automation

Customers often ask the same handful of questions over and over—hours, pricing, status, and how something works. Our agents answer them straight away, in your wording, either in an email or a chatbot on your own website, and in many messaging tools your business already adopts. Its answers come from what already exists: documents, FAQ and any other webpage on your site, information written to its memory, or even a cloud folder you periodically update. Most clients do not have to write anything new to start.

Now prospects or customers asking in the middle of the night get answers in the middle of the night—you and your team's day is not broken up by the same question arriving for the twentieth time that month.

Nuanced conversations still reach a human. When the agent doesn't know, it simply says so and escalates the inquiry, letting the person know that someone will be with them at an appropriate time. During Discovery, our consultants will go over these scenarios with you in finer detail; what kinds of things should be routed — someone is upset, asking about refunds, or describing something the agent's knowledge base doesn't cover — and to whom, is all built into the agent. Anything it has no answer for, goes to a person rather than being guessed. At all times, you'll be able to see what the agent has said, even when the inquiry wasn't escalated.

Invoicing & Payment Follow-Ups

The agent runs on the billing tools you already use. What it does with them depends on the tool: QuickBooks, Xero, and Stripe are the most common, but not the exhaustive list. In a nutshell, invoices are created when they should be and can be emailed to the customer for you (currently only with Stripe & Xero); lines that need to go into an invoice get written, unpaid invoices can receive follow-ups on a schedule, and payment handling — taking a payment, holding one, or cancelling one — can all be done with an agent. When invoices are paid, our agents check for any remaining outstanding balance, and the chasing stops without anyone telling it to.

Which means the awkward chase email is written once and never again, and money that used to arrive late increases in likelihood that it arrives per the terms. You decide the tone and timing of the reminders; the agent never forgets to send them.

Follow-up emails run on their own, too. When a new prospect lands, the first email is written in your voice and sent from your email account, and the messages after it keep going out on the schedule you set. When prospects reply, they cease receiving follow-ups. The agent also stops contacting people who never respond at all.

LinkedIn messaging is part of the same service, which is what makes this service multi-channel — the people you are emailing are people you can reach there, too. The two halves do not work the same way, and the LinkedIn half is not the hands-off one. How it is set up depends on how you already work, so we settle it together during Discovery, rather than decide it for you.
